2. Purposes and Legal Basis of Processing
We process personal data for the following purposes:

- implementation of educational, care, and upbringing tasks (legal basis: Art. 6(1)(c) GDPR – legal obligation),
- keeping HR and accounting documentation (Art. 6(1)(b), (c) GDPR),
- recruitment of children to the kindergarten (Art. 6(1)(b), (c) GDPR),
- ensuring safety and health care, including information about allergies and health status (Art. 9(2)(c), (h) GDPR),
- communication with parents/guardians via website, applications, or e-mail (Art. 6(1)(b) GDPR),
- processing tuition fee payments (Art. 6(1)(b) GDPR),
- publication of children’s photos/images – only with parental/guardian consent (Art. 6(1)(a) GDPR).
3. Categories of Processed Data
- children’s data (name, surname, date of birth, health information necessary for care),
- parents’/guardians’ data (name, surname, address, contact details, PESEL/NIP for contracts and settlements),
- employees’ and job applicants’ data (as required by the Labor Code and other laws).
4. Data Recipients
Data may be shared with:

- supervisory authorities (e.g., municipality, education office, Sanitary Inspectorate),
- companies providing IT, accounting, HR services – based on data processing agreements,
- providers of educational and communication tools (e.g., e-registers, applications),
- banks and payment operators for settlements.
We do not transfer data to third countries outside the EEA.
5. Data Retention Period
We store personal data for the following periods:

- preschool and recruitment documentation – in accordance with educational law,
- financial and accounting records – for the statutory period (usually 5 years),
- recruitment-related data – until the end of the process (unless consent was given for longer storage),
- image data – until consent is withdrawn.
6. Rights of Data Subjects
Every data subject has the right to:

- access their data,
- rectify, delete, or restrict processing,
- data portability (where applicable),
- object to processing,
- withdraw consent at any time,
- lodge a complaint with the President of the Personal Data Protection Office.
7. Data Security
We apply technical and organizational measures such as: encryption, backups, access control, staff training, password policies, and incident reporting procedures.
8. Cookies and Website
The britishkids.co website uses cookies for:
- improving website functionality and adjusting it to users’ needs,
- traffic and statistics analysis (e.g., Google Analytics),
- handling contact forms.
Users may change cookie settings in their browser at any time.
9. Monitoring
Video monitoring is used inside and outside the kindergarten – information about it is displayed in the building. Recordings are stored for no longer than 30 days unless they serve as evidence in proceedings.
